This full-time hybrid remote Administrative Assistant II position supports the Behavioral Neurology Department's movement disorders division, specifically the Deep Brain Stimulation program at Beth Israel Deaconess Medical Center in Boston, MA. The role involves providing comprehensive administrative support to physicians in clinical practice, research, and academic activities, with a Monday through Friday schedule from 8:00 AM to 4:30 PM. After 3-6 months of training, the incumbent may work remotely up to two days per week. Responsibilities include managing communications, patient appointment scheduling, updating patient records, coordinating with hospital departments, billing support tasks, and maintaining physician schedules. The position requires a high school diploma or GED (associate degree preferred), 1-3 years of related experience, and proficiency with computer systems including web applications and Microsoft Office. Healthcare experience is preferred. Candidates must be vaccinated against influenza and COVID-19 as a condition of employment.

- Answer and screen telephone calls, take accurate messages, direct calls, and greet patients and visitors. - Update patient demographic and insurance information; obtain specialist referrals. - Schedule patient appointments and coordinate ancillary appointments and procedures. - Prepare and maintain patient records; act as liaison with other departments. - Collect co-payments and coordinate billing tickets per protocol. - Maintain clinical and administrative schedules and calendars for physicians. - Transcribe letters and patient notes; prepare routine reports. - Notify and remind patients of appointments. - Obtain authorization for radiologic exams. - Handle correspondence and mail distribution in absence of assistant. - Participate in special projects and process improvement initiatives.
